This Privacy Policy explains how the McHenry County Bandits ("Bandits," "we," "us," or "our") collects, uses, and protects information when you visit this website or submit a form to register for tryouts, contact us, or sign up for updates.
Because we are a youth sports organization, much of the information we handle concerns minors and is submitted by a parent or legal guardian. Please read the "Children's & Players' Privacy" section carefully.
Information We Collect
We collect information you provide directly through forms on this site, which are powered by our customer-management provider, GoHighLevel. Depending on the form, this may include:
- Player information — name, age or date of birth, and age group/team of interest
- Parent/guardian information — name, email address, phone number, and (where requested) mailing address
- Messages and inquiries you send us
- Registration and program-selection details, and — if/when payment is enabled — billing details processed by a third-party payment provider (we do not store full card numbers)
We also collect limited technical information automatically, such as device and browser type and general usage data — but only through analytics that load after you consent (see Cookies & Tracking below). If you do not consent, this automatic collection does not occur.
Children's & Players' Privacy (COPPA)
This site is intended to be used by adults — parents, guardians, and coaches. Registration and contact forms that involve a minor (a player) are meant to be completed by a parent or legal guardian on the minor's behalf. By submitting a player's information, you confirm you are that player's parent or legal guardian and consent to our handling of that information as described here.
We do not knowingly collect personal information directly from children under 13 without parental involvement. If you believe a child has provided us information without a parent or guardian, contact us and we will delete it. A parent or guardian may review, correct, or request deletion of their child's information at any time.
How We Use Information
- Process tryout and program registrations and manage rosters
- Communicate with families about tryouts, schedules, results, and program updates (by email and/or text, where you've opted in)
- Schedule practices, games, and tournaments
- Process registration fees and payments (via a third-party provider) where applicable
- Respond to inquiries and provide support
- Operate, maintain, secure, and improve this website
Third-Party Services
We rely on a small set of trusted providers to run this site and our program. Each processes information only as needed to provide its service:
- GoHighLevel — forms, registration intake, CRM, and email/SMS communications (and payments, where enabled)
- Vercel — website hosting and delivery
- Google Analytics — site usage measurement (consent-gated; inactive unless configured). Note: our fonts are self-hosted, so loading this site does not, by itself, contact Google
- A payment processor (via GoHighLevel) — to process registration fees, where enabled
- Instagram / Meta — we link to our @mcbandits account; visiting Instagram is governed by Meta's policies
Data Retention
We keep registration and contact information for as long as needed to run the program and for a reasonable period afterward for recordkeeping, then delete or anonymize it. You may request deletion sooner (see Your Rights), subject to records we must retain for legal or accounting reasons.
Your Rights — California (CCPA/CPRA)
If you are a California resident, you have the right to know what personal information we collect and how we use it, to request access to or deletion of your information, to correct inaccurate information, and to not be discriminated against for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising. To make a request, contact us using the details below.
Your Rights — EEA/UK (GDPR)
If you are in the European Economic Area or United Kingdom, you have rights to access, rectify, erase, restrict, and port your personal data, and to object to certain processing. Our lawful bases are your consent (for analytics/marketing and communications) and our legitimate interests and the performance of our program (for registration and operations). You may withdraw consent at any time and have the right to complain to your local data protection authority.
Security
We use reasonable administrative and technical safeguards to protect information, and we rely on reputable providers (such as GoHighLevel and Vercel) that maintain their own security programs. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page.
